Templates

Templates are the reusable content your podcast runs on: email templates power automated messages to guests, and show-notes templates give every episode's notes a consistent structure.

Find them under Templates in your podcast navigation.

Two Kinds of Templates

TypeUsed by
EmailAutomations with a send-email step
Show notesNew episodes: pick per-section defaults so notes start pre-structured

Both kinds support magic tags: placeholders like {guest_first_name} and {episode_title} that fill in real values when the template is used.

Starter Templates

Every new podcast comes with a set of templates, marked with a Starter badge:

TemplatePurpose
Guest Booking ConfirmedConfirmation email with the recording details
Recording Reminder - 24 HoursDay-before reminder with the meeting link
Episode Published - Guest Notification"Your episode is live" email with a shareable listen link
Standard Show NotesA sensible default structure for episode show notes

The three email templates are wired into your starter automations.

Make them yours

Starter templates are fully editable: adjust the tone, add your sign-off, restructure the layout. Your starter automations automatically send whatever the template says. Starter templates also don't count toward your plan's template limit.

Create a Template

  1. On the Templates page, pick the tab for the kind you want: Email Templates or Show Notes
  2. Click New Template
  3. Give it a name, a subject (or section title, for show notes), and a body
  4. Insert magic tags from the Insert Tag browser to personalize the content
  5. Click Preview to see it filled in with sample data
  6. Click Create Template. It's immediately available to your automations (email) or episode defaults (show notes)

For show-notes templates, you also choose a Section (Shared notes, Host-private notes, or Guest section) and can switch on Use as default for this section, so new episodes pre-fill that section from this template.

Plan limits

Templates you create are pooled across your account and capped by your plan. At your limit, New Template and Duplicate open upgrade options instead of the editor. See Plan Limits.

Editing and Deleting

  • Editing a template affects every automation that uses it from the next run onward
  • A template that's in use by an automation can't be deleted: remove or repoint the automation first
  • A show-notes template marked as a section default shows a Default badge with its section name
